How AP Maestro looks after your data

Each customer's data is kept separate

Every record in AP Maestro belongs to one customer, and every query is limited to that customer. The database also enforces the separation itself, as a second check.

People see and approve only what you allow

Each person is an admin, an approver or a viewer. You can also limit what a person sees or approves to certain companies or suppliers.

Every change is recorded

AP Maestro records who changed what on every invoice, and when. Every email it receives gets an outcome and a reason, so you can always see what happened to it.

Connecting Microsoft 365 and Xero

You connect each mailbox and each Xero organisation by signing in and approving access. AP Maestro reads only the inbox of each connected mailbox, and by default changes nothing in it. An admin can turn on tagging for a mailbox, so that AP Maestro adds one category, such as "Processed", to each email it has dealt with. Tagging asks Microsoft for permission to change mail, which AP Maestro uses for the tag and nothing else. The access keys are stored encrypted, and you can disconnect at any time.

Where your data is held

The AP Maestro app and its database run in Australia. To read an invoice, AP Maestro sends it to OpenAI's API, which processes it outside Australia. OpenAI doesn't use it to train its models, and AP Maestro asks OpenAI not to store it. OpenAI keeps a record of each request for up to 30 days to check for misuse, then deletes it.

Keeping and deleting your data

You choose how long AP Maestro keeps invoices and documents. If you leave, you can export your records, and we disconnect your mailboxes and Xero.
