Approvals in more than one step, rules by amount, and approving some invoices automatically.
Roles
Choose who can see and approve each company's invoices.
Every plan includes
- Unlimited users.
- Your Microsoft 365 inboxes, connected so suppliers keep the addresses they use today. Google Workspace is coming.
- An address of your own to forward invoices to, and upload for anything that arrives on paper.
- Every line of every invoice read, and coded by your rules.
- A person approves every invoice, and anything uncertain goes to "Needs a look" with the reason.
- Duplicate checks across all your companies.
- A bank details check: an invoice whose bank details don't match the supplier's is held until someone checks it.
- Comments and @mentions on any invoice.
- Sending an invoice back to the supplier, with the reason.
- Approved bills posted to your accounting software, with the PDF attached.
Add a pack to any company
Packs add work AP Maestro does for a company. You can add one to any company on any plan, and you pay for each company you switch it on for.
Statements
$19 a company a month
Forward or upload supplier statements. AP Maestro checks every line against your bills, shows what's missing or different, and you can ask the supplier to resend anything missing.
PO flows

Raise and approve purchase orders, and match supplier bills against them.
Receivables

Chase overdue customer invoices, and match customer payments to the invoices they pay.
How invoices are counted
- You pay for bills and credit notes posted to your accounting software. Duplicates, invoices you bin, statements and remittances don't count.
- A PDF with several invoices in it counts each invoice once. A corrected copy that replaces an invoice doesn't count twice.
- If you go past your plan's limit, we keep reading every invoice. Each extra invoice costs the rate shown on your plan.
- When extra invoices start costing more than the next plan up, moving up costs less. We'll tell you when you're getting close to your limit.
Questions
How does the free trial work?
Every plan starts with 14 days free, and you don't need a card. The trial includes everything in the Growing plan and the Statements pack. After 14 days, choose a plan to keep going. New invoices wait until you do.
What happens if we go over our invoice limit?
We keep reading every invoice. Each one past your limit costs your plan's extra invoice rate, added to your next monthly bill.
What if we add another company?
Each plan covers a set number of companies. To connect another, move up to the plan that covers it.
Can we change plans?
Yes. Moving up starts the day you do it, and invoices counted before then stay on your old plan. Moving down starts from your next monthly bill.
Do you charge for each user?
No. Every plan includes unlimited users.
Can we pay yearly?
Yes, and you save 10% on your plan and any packs. Invoices are still counted each month, and any extra invoices are billed monthly.
Are prices shown with GST?
No. Prices are in Australian dollars and exclude GST.
Which accounting software does AP Maestro work with?
Xero and QuickBooks Online. MYOB is coming soon.
